Birthday Party Coordinator

Full-time; non-exempt;

Responsibilities:

Under the general direction of the Events Supervisor, the Birthday Party Coordinator organizes all aspects of the birthday party program, including responding to interested individuals, reserving parties in Altru software and Outlook, coordinating with the client each party and ordering necessary supplies. This position is focused on task follow through and high customer interaction.

Job Duties:

  • Schedule, coordinate and manage all birthday party requests;
  • Send out necessary contracts, confirmations, and other information in a timely manner;
  • Follow up with customers on a regular basis;
  • Create and organize birthday party activities;
  • Prepare files for each birthday for day of the event including notes, invoices, thank you notes, food orders and guest lists;
  • Facilitate the scheduled birthday parties when deemed necessary;
  • Assist the Events Supervisor with hiring new birthday party hosts;
  • Responsible for ensuring the birthday party room is clean prior to and after each weekend of parties;
  • Available and willing to work evenings and weekend shifts, minimum of 2 weekend days per month;
  • Support the Events Supervisor, when needed, at after-hours or off-site events.

Education/Experience:

Any combination of education and experience providing the knowledge for successful performance would be qualifying. Minimum employment standards are:

  • High School Diploma or equivalent;
  • One year of previous supervisory and visitor service or event coordination experience is necessary;
  • Able to lift 25 lbs.;
  • Excellent communication skills – verbal and written;
  • Basic accounting, record keeping, and computer skills and
  • Comfortable working with Excel, Adobe Acrobat and Microsoft Word software.
